Specialists read text-based PDFs and extract text from office files, so they can summarize, compare, and answer questions grounded in documents already in your workspace.

What your specialists can do

Upload a PDF or office file (like a Word document or spreadsheet) to your workspace and a specialist can read its contents, summarize long documents into a few bullets, pull structured data such as invoice line items into a table, and answer follow-up questions grounded only in what the file actually says. This is a reading and extraction capability—for editing a document's content, see the Word Documents page instead. It's a good fit for anything you'd otherwise skim manually: contracts, reports, statements, and research papers.

How to connect it

  1. Upload the PDF or office file to your workspace.
  2. Reference it by name and ask the specialist what you need—a summary, an extraction, or an answer to a specific question.

  • “Read invoice.pdf and extract the line items into a table.”
  • “Summarize this 40-page report into five bullets I can share with the team.”
  • “Find every mention of ‘payment terms’ across the contracts in this folder.”
  • “Pull the key dates and dollar figures out of this signed agreement and list them here.”

Honest limits

  • Scanned or image-only PDFs are not supported—there's no OCR step, so a specialist can't read a PDF that's really just a picture of text. Use a text-based PDF, or convert it to text first.
  • Password-protected files need to be unlocked before they're uploaded.
  • Very long documents may be processed and summarized in sections rather than all at once.
  • Extracted tables should be spot-checked against the original for anything with financial or legal consequences—treat extraction as a fast first pass, not a final audit.
Tip: if a specialist says it can't read a PDF, try opening it yourself first—if you can't select or copy the text either, it's likely a scanned image and needs OCR outside CloudAxis before it will work here.

Common questions

Does this work on scanned documents or photos of paper?
No—scanned or image-only PDFs aren't supported. The document needs selectable text, not just an image of text.

Can a specialist edit a PDF, not just read it?
This capability is read and extraction only; for editing document content, work with a .docx version through Word Documents instead.
